| About XPO Booth Packages |
|
|
There are four Founding Father booth packages. Each includes a basic kit, with the cost increasing for added elements. The booths will not include electricity, A/V equipment or support, additional or upgraded furnishings, internet connections or computers. Any of these items are “purchased” by the exhibitors as desired.
Hargrove (exposition services) is our provider for exhibit support and is a union company. Additional costs will be incurred by the exhibitors for supplementary items not included in the four packages. Products and services are supplied by Hargrove exposition services (material handling, additional and/or upgraded furnishings, carpet for their booth, graphics support, and labor associated with any of the above). The Hargrove menu for these services will be provided to registered exhibitors. These costs will be paid directly to Hargrove. Audio/visual, computer and internet support, or upgraded electricity access will need to be acquired from AVT and the Omni Shoreham, respectively. Credit card authorization forms will be provided to those wanting these additions to their booths, and sub-accounts will be established on an individual organization basis with the Omni Shoreham.
As Hargrove is a union company, there are restrictions placed upon what exhibitors can and cannot do. Exhibitors will be allowed to carry in only what one person can carry in his or her arms, one trip per booth (no carts, dollies or hand-trucks). All other materials must be carted in by Hargrove laborers. Exhibitors will need to deliver their excess materials to the freight entrance. For each booth, the first 50 pounds of material handling is included. The cost for additional material handling above 50 pounds will be the responsibility of the exhibitor and must be pre-arranged with Hargrove.

| Additional Options |
|
|
A cost for premium location space will be levied upon those exhibitors desiring preferred placement. For prime locations, a fee of 5 – 10% of the booth cost will be charged. Those requesting quality locations will incur an additional fee up to 5% of the booth cost. Best placement is already included in the price of a Washington package.
Meeting rooms will be available to registered exhibitors for side meetings. For those purchasing booths that don’t include meeting space (the Madison level), meeting room rental is available and will be negotiated based upon room size and duration. More meeting space and/or time may be added to the other booth packages; these costs will be negotiated based upon what is provided. Indicate your request on the registration form, to include the estimated number of attendees.
Options to host a Thursday or Friday event (receptions, dinner, luncheon) are available at a minimum of $30,000 in catering costs (plus tax and gratuity). Indicate on the registration form your desire to host or sponsor a dinner, but hurry as these opportunities are limited
Additional tickets for the VIP Reception and “Remember the Ladies” dinner will be available to registered exhibitors. Per ticket cost will be provided as soon as possible prior to the event.
A supplemental means to distribute your organization’s information is to include an insert in the March on DC welcome kits. This option is available to all who purchase booth space (any level). The exhibiting organization will be required to furnish their flyers for inclusion; we will do no printing for this option. The fee for this opportunity is $500. (This option is included in the Washington package.)
All exhibitors will be required to have a team in place to set up your booth starting at 8:00 am on Thursday, September 9th. We will start that day off with an exhibitor meeting in the Omni Shoreham (room to be determined). There are absolutely no exceptions to this requirement. The Liberty XPO exhibit hall will open at 1:00 pm, and all booths will be ready for primetime before the doors are open.

Lodging

The Omni Shoreham is providing first-class accommodations for $119/night plus tax. For your convenience, it is highly recommended you reserve your lodging at the Omni Shoreham. | Symposium Participation |
|
|
Anyone interested in presenting an educational session (workshop, seminar, class, video, etc) during the time of the XPO and Symposium (Thursday and/or Friday, 9-10 September) should contact Ms. Dawn Forbes via the marchondc.org website or email (d.forbes@marchondc.org). As premium classroom space is somewhat limited, please indicate your desire to do so as soon as possible.
